It can be somewhat mystifying for corporate event planners to figure out what's needed in order to transition from a traditional brick-and-mortar in-person event to a virtual online event.

How to Get Started?

For starters, it's helpful to define what you want to do by putting together a requirements checklist for a 3D booth or showroom that will provide an immersive, seamless, engaging experience. Below is a sample list:

  • A robust platform that can support remote client access and simultaneous, multi-audience engagements

  • Large audience support with breakout, concurrent meeting capability

  • URL link invitation for pre-event promotions

  • Voice communication, chat function, networking capabilities

  • Instant product demonstration with multimedia data support

  • Ease of content update and replacement

  • Integrated meeting scheduler? Etc...

Once the requirements are identified, the next step is to find a solution provider that is able to meet what you need.

There is a plethora of virtual event management platforms that allow for individual/group video conferencing and webinars but they won't necessarily offer the same experience as a simulated event to captivate and wow your audience.

How Is It Being Done?

For a virtual event to be effective, it's essential to replicate a life-like experience in a real-world space with powerful interactive tools that one would expect at a live event.

Be it an exhibition, showroom, conference, trade show, retail space, or supercharging a webinar, a company that normally attends an event needs to plan for the layout of a space and often times need to engage with an exhibit service provider to render a realistic depiction of the space and all necessary components required for building out the space.

Thankfully, exhibit service providers are now taking great strides to include tools and services necessary for meeting customers demands. Services may include:

  • Creating a unique branded and customized 3D environment for their client with all of the elements normally found in a physical space including a reception, main stage, demo kiosks, showroom, breakout rooms, and even a help desk.

  • Offering custom interactive environments that help companies to promote their business, products, and partners through a multitude of mediums such as live chats, networking opportunities, video, digital catalogs, and integrated hyperlinks to website.

  • The virtual event experience is viewable on-demand and accessible via the vendor's domain through a web browser.

  • Some offer enhanced AR content accessed via the vendor's proprietary AR app or a branded app supported by Apple and Android devices.

( Tip: to locate a virtual exhibit provider, use search terms "virtual exhibit", "3D showroom design services" or "exhibition design companies")
